Sign in, reset a password, and resolve account-access problems

Sign in at the BayEngine login page with your email and password. If you've forgotten the password, Forgot your password? on the login page emails you a reset link. When you can't get in, the cause is almost always one of three things: wrong credentials, a deactivated account, or an expired invite. If you can sign in but a page or button is missing, that's a permissions question, not a sign-in problem; see the last section.

Sign in

Enter your email and password on the login page and select Log In. You land on the Workflow board.

Two errors can come back:

  • Incorrect email or password. One of the two is wrong; BayEngine does not say which. The password is case-sensitive. There is no lockout after failed attempts, so retrying costs nothing, and resetting the password settles it if retries don't.
  • Inactive user. The account exists but has been deactivated. Resetting the password will not help; the reset page returns the same error. Ask a Shop Administrator to reactivate you, as described in Add, update, deactivate, or reactivate users.

Sign-in is email and password only. There is no two-factor authentication and no sign-in with Google or other providers yet.

Get an account in the first place

Staff accounts are created by invitation. A Shop Administrator invites you from Configurations > General > Users, and you get an email titled "[Inviter name] invited you to BayEngine" with an Accept invitation button. The link opens a page where you set a password (8 characters minimum) and are signed in immediately. Invite links are valid for 48 hours; if yours has expired, the link stops working and your administrator needs to send a new invite from your entry on the Users page.

Self-service sign-up is unavailable. Use the invite your administrator sends.

Reset a forgotten password

  1. On the login page, select Forgot your password?.
  2. Enter your account email and select Continue. The page confirms the request whether or not the address matches an account, so a typo in the email looks the same as success.
  3. Open the email from BayEngine with the subject "Reset your BayEngine password" and select Reset password. The link is valid for 48 hours.
  4. Enter the new password twice and select Reset Password. Passwords are 8 to 128 characters; there are no other composition rules.
  5. You're returned to the login page. Sign in with the new password.

If the email never arrives, check spam first, then confirm you entered the exact address on your user account; the confirmation message shows even for addresses BayEngine has never seen. A Shop Administrator can check which email is on your user record from the Users page. If the link has expired or the reset page says "Invalid token", request a fresh link from step 1.

Resetting the password does not sign out browsers where you are already signed in. Those sessions keep running until they expire.

Change your password while signed in

Select your name at the bottom left, open User Settings, and find the Password card. Enter your current password, then the new one twice, and select Update Password. The new password must be different from the current one and 8 to 128 characters. This is also the honest fix after sharing a password with a coworker, which the invite flow exists to make unnecessary.

As with a reset, changing the password here does not end your sessions in other browsers. There is no "sign out everywhere" action yet; other sessions run until they expire on their own, within 7 days.

How long a session lasts

A sign-in lasts up to 7 days in that browser, renewing itself quietly while you work. After 7 days, or if your account is deactivated mid-session, the next thing you do returns you to the login page. Being dropped at the login screen unexpectedly means one of those two things, not a lost password.

Sessions are per browser on each device. Signing in on your phone does not touch the session on the front-counter computer, and logging out only logs out the browser you did it in. To log out, select your name at the bottom left and choose Log Out. On shared shop computers, log out rather than just closing the tab; the session survives a closed tab.

Signed in, but a page or action is missing

If you can sign in but a sidebar page is gone, a button is missing, or you get a "Permission denied" message, your account is fine. What you're missing is a User Permission, the per-user grant that controls which actions and records you can use. One timing detail worth knowing: a new grant works on your very next click, but live-updating pages like the Workflow board and Inbox can take up to 15 minutes to catch up. Logging out and back in applies it everywhere immediately.
